The Massage Clinic (“we”, “us”, Laura Occhionero) is committed to protecting your privacy. This policy explains what personal information we collect when you book a treatment, why we collect it, how long we keep it and how it is kept safe. We handle your data in line with UK data protection law (UK GDPR and the Data Protection Act 2018).
Who we are
The Massage Clinic is a mobile massage therapy service run by Laura Occhionero, providing home and hotel visits across Kingston-upon-Thames, the KT and TW postcodes and Greater London. Laura is the data controller for the information you provide. You can contact her at laura@themassageclinic.co.uk.
What we collect
To arrange and deliver your treatment we collect basic booking details such as your name, contact details (phone and email), the address for your visit and your appointment preferences.
Before your first treatment of any service we also ask you to complete a consultation form. This may include information about your medical history, injuries, medication, pregnancy and other health conditions. Under data protection law this is special-category (health) data, and we treat it with particular care.
The consultation form
We send you a consultation form for the first treatment of any of the services you book with us. This is normally sent by email on the morning of your appointment. Please complete it before arriving; if you are unable to for any reason, there will be time to do so at the start of your appointment.
We need this personal and health information to ensure there are no contraindications to your treatment and to meet our legal requirements. You can of course refuse to provide it - but the form is a legal requirement for our insurance, so we would then regretfully have to refuse your treatment. As set out in our Booking & Cancellation Terms, refusal to complete a consultation will result in the loss of any booking fee paid, for which no refund will be given.
Why we collect it and our lawful basis
We collect booking details to arrange your appointment, contact you about it and provide the service you have requested (our lawful basis is the performance of our contract with you).
We collect health information from the consultation form solely so that Laura can assess whether a treatment is safe and appropriate for you and tailor it to your needs. We process this special-category data on the basis of your explicit consent, given when you complete the form, for the sole purpose of providing safe treatment. You can withdraw that consent at any time, although this may mean we cannot proceed with treatment.
How we contact you
Your phone number and email address are used electronically to confirm a booking, confirm a change to a booking, confirm a no-show, send you a reminder of your appointment, and request feedback following an appointment.
News & offers
We may occasionally send you emails with our latest news and offers. On receipt of any such notification you have the option to opt out of receiving any further notifications in future. We never use your health information to decide what to send you.
Reviews
If you leave us a review on Google or on our social media platforms, we may use all or part of that review to promote our business.
Data minimisation
We only ask for the information we genuinely need to treat you safely and to run your booking. We do not collect data we do not need.
Who can access your data
Your information - and in particular your consultation form - is accessible only to Laura, the therapist. It is never sold. We will never share your data with anyone other than Laura Occhionero at The Massage Clinic without first discussing this with you and obtaining your written consent.
How long we keep your records
We have a legal obligation to retain your records for seven years after your most recent appointment. After this time, your records are destroyed by a method compliant with GDPR.
How your data is kept safe
Records retained on paper are locked in a cabinet within the clinic and are accessible only to Laura Occhionero. Records held in the clinic’s booking system are password-protected and accessible only by Laura Occhionero, and any backups are stored in encrypted form.
We would like you to be confident that we treat your personal data responsibly and do everything we can to ensure that only people who have a genuine need to access it can do so.
Your rights
You have the right to see what personal data we hold about you, and you can ask Laura Occhionero at The Massage Clinic to correct any factual errors. Provided the seven-year legal minimum retention period has elapsed, you may also ask us to erase your records. To exercise any of these rights, or to withdraw consent to us holding your health information, simply email laura@themassageclinic.co.uk and we will action your request.
If you believe we have mishandled your data, you have the right to make a formal complaint. Please direct any queries regarding the matters discussed above to Laura Occhionero at The Massage Clinic in the first instance. You also have the right to complain to the Information Commissioner's Office (ICO) if you are unhappy with how your data has been handled.
Changes to this policy
We may update this policy from time to time. Any changes will be reflected on this page with an updated date above.
